Privacy Policy

MileMind is developed and published by Sam Gregory, trading as ggrydev (“we”, “us”, “our”). This policy explains what information MileMind collects, why, and what rights you have over it.

1. What data we collect
To provide the app's core functionality, MileMind collects and stores:
- Vehicle details — make, model, registration, and similar identifying information you add for your vehicles.
- Odometer readings — mileage entries you log over time.
- Fuel and charging logs — amounts, costs, and dates of refuelling or charging.
- Running costs — insurance, MOT, servicing, finance payments, and other costs you choose to record.
- Business journeys and mileage claims — trip details and calculated figures for HMRC mileage claims.
- Renewal dates — MOT, insurance, and tax dates you enter, used to schedule reminders.
- Apple ID information — when you sign in with Apple, we receive your name and email address only if you choose to share them. If you use Apple's “Hide My Email” option, we receive a private relay address instead of your real one.
We do not collect payment card details. Subscription payments are handled entirely by Apple — we never see or store your card information.
2. How we use your data
We use the data you provide solely to operate MileMind for you: storing your vehicle and cost records, calculating mileage claims, and scheduling reminders. We do not use your personal data for advertising, profiling, or any purpose beyond running the app's features.
3. Where your data is stored
All user data is stored on a private server (VPS) located in Europe, in a PostgreSQL database. Data is transmitted between the app and our server over an encrypted connection.
We do not store your data on Apple's servers (beyond what Sign in with Apple itself requires) or share it with third-party cloud platforms, other than the limited processors described below.
4. Sign in with Apple
MileMind uses Sign in with Apple as its only method of account creation and login. We receive a unique, stable identifier for your account, and your name and email address if you choose to share them during sign-in. We use this solely to identify your account and, where applicable, to contact you about your account or in response to feedback you've sent us.
5. Analytics (PostHog)
We use PostHog, an analytics provider, to understand how the app is used and to improve it. Our PostHog instance is hosted in the EU (eu.posthog.com), meaning analytics data does not leave the EU/UK.
The events we track are anonymous and relate to app usage, not your personal data — for example, which screens are viewed, which features are used, whether onboarding is completed, and when paywall screens are shown. We do not include your name, email, vehicle details, mileage figures, or any other personally identifiable information in analytics event data.
Website analytics (this site): This marketing website (milemind.ggrydev.co.uk) uses Cloudflare Web Analytics to count visits and see which pages are popular, so we can improve the site. It is privacy-first and cookieless — it sets no cookies, does not track you across sites, and collects no personal data — so no consent banner is needed. This is separate from the in-app PostHog analytics described above, and is never used for advertising.
6. Push notifications
Reminders for upcoming MOT, insurance, and tax renewals are scheduled and delivered entirely on your device using local notifications. These are not sent from our server, and no notification content or scheduling data leaves your device for this purpose.
7. Feedback form
If you submit feedback through the app, your message is sent via Resend, an email delivery service, to feedback@ggrydesign.co.uk. This only happens when you actively choose to send feedback — it is not automatic or background activity. We use the contents of your feedback solely to respond to you and improve the app.
8. No selling of data, no advertising
We do not sell your data to anyone. MileMind contains no third-party advertising SDKs, and we do not share your personal data with advertisers, data brokers, or any party for marketing purposes.
9. Your rights under GDPR
If you are in the UK or EU, you have the following rights over your personal data:
- Access — you can request a copy of the personal data we hold about you.
- Rectification — you can ask us to correct inaccurate data (most of this you can also do directly within the app).
- Erasure — you can ask us to delete your account and all associated data.
- Portability — you can ask for your data in a structured, commonly used format.
- Restriction or objection — you can ask us to limit how we process your data in certain circumstances.
To exercise any of these rights, email hello@ggrydesign.co.uk. We will respond within one month, as required by UK GDPR.
You also have the right to lodge a complaint with the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk.
10. Requesting deletion of your data
You can request full deletion of your account and all associated data at any time by emailing hello@ggrydesign.co.uk from the email address associated with your account, or by stating your Apple ID-linked username. We will delete your data from our production database within 30 days of a verified request, except where we are required to retain limited records for legal or accounting purposes (for example, transaction records relating to a paid subscription).
11. Children
MileMind is not directed at, or intended for use by, children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal data, contact us and we will delete it.
12. Changes to this policy
We may update this policy from time to time, for example to reflect new features or legal requirements. If we make material changes, we will update the “Last updated” date above and, where appropriate, notify you within the app. Continued use of MileMind after changes take effect constitutes acceptance of the updated policy.
